When we work together as a team and keep the lines of communication open, we can make your child's therapy journey smoother and more effective. Let's dive into three important areas where staying connected really makes a difference: with our front desk team, your Primary Care Physician (PCP), and your insurance company. Staying Connected with Our Front Desk Team Our front desk team is here to make your life easier, but we need your help to keep things running smoothly! Here's how you can lend a hand: Keep Us in the Loop: Got a new address, phone number, PCP, or insurance info? Let us know ASAP, especially with the new year around the corner. This helps us avoid any scheduling mix-ups or billing surprises.   Reschedule Like a Pro: Life happens! If you need to change an appointment, just give us a 2-hour heads-up. You can leave a voicemail, send an email, or even text us anytime, day or night. The more notice you give, the easier it is for us to adjust and accommodate your schedule.   Ask Away: Got questions or concerns? Reach out right away! The sooner we know what's on your mind, the faster we can help keep things running smoothly for your child's care. Teaming Up with Your Child's PCP Your child's PCP plays a big role in making sure their therapy stays on track. Here's how staying in touch can help: Prevent Delays: While we're in regular contact with PCP offices, things often move faster when families follow up too. A quick call from you can help get forms signed sooner and keep therapy on schedule.   Stay Ahead of Appointments: Sometimes, a PCP might deny signing your child's documents for therapy if they are not up to date with well-child visits. These visits are important for the PCP to ensure continuity of care and prevent a lapse in therapy. You can book an appointment with your PCP and let us know when it's scheduled so we may follow up at the right time. Your involvement makes a huge difference in keeping everything on track for your child's therapy. Navigating Insurance Like a Champ We know dealing with insurance can feel overwhelming, but staying on top of it can save time and avoid stress. Here's how you can stay ahead: Update Your Info: If your insurance changes, let us and your provider know right away to prevent billing hiccups. Sometimes, you'll need to complete a Coordination of Benefits, so the sooner you handle it, the better!   Speak Up for Services: If insurance denies an authorization for services, your voice can make a difference. Most insurances allow authorization denials to be appealed, but they must be initiated by the families. Families who advocate for their child, along with our support, often see denials overturned. Don't give up!   Understand Your Plan: If claims are denied and your insurance company is holding you financially responsible, even after all our attempts to get them paid, a call from you to your insurance provider might turn things around.
